- Submitting an application does not ensure I am accepted into the event. If accepted, I will receive an invoice from the North Jefferson Chamber that must be paid within 30 days to be eligible for the event. Invoices not timely paid will result in dismissal from the event.
- Vendors are not required to have a City of Pinson Business license for this event.
- Vendors are are only permitted to sell the products listed in their approved application. The sale of any unapproved items is strictly prohibited. If unauthorized products are displayed or sold, you will be required to remove them immediately, and such violations may impact your eligibility for participation in future events.
- Vendors may not hand out water, gatorate, free drinks, etc. CANDY ONLY as this hurts the vendors at our event who sell these items.
- Vendors must furnish their own tent & tent weights and tents must be secured/weighted properly. Anchoring to any City property is strictly prohibited. Damages caused by vendors to City/Private property are the responsibility of the vendor.
- An email will be sent closer to time with specific check in information. You will not be allowed to check in before your appointed time.
- Vendors must provide their own tables, chairs, LED lighting & extension cords (100 feet). Extension cords must be taped and secured to prevent a hazard. Power is available for an additional $25 but spots are limited. Lights will be a necessity for Friday night, so please plan accordingly.
- All displays and merchandise should be designed and constructed in good taste and must not cause concern for the safety of event attendees. This is a family-friendly event and products and displays should reflect this. Any products containing profanity, suggestive language, or vulgarity are not allowed.
- Vendors may ONLY use the space provided and purchased. You MUST keep all of your stock and equipment within your designated area.
- Parking provided by our event is extremely limited and vehicle entry pass(es) will be provided for each vendor (1 pass per booth only). Vendors must display tag and contact information must be correctly displayed in the windshield of the vehicle to be allowed on event property. Once the car is unloaded, vehicles must exit the event. All vehicles must be gone from the event property by 4:00 PM on Friday, October 2.
- Specific setup and breakdown information will be sent out the month prior to the event.
- Security is provided before and during the festival however neither the City of Pinson nor the North Jefferson Chamber of Commerce assumes any responsibility or liability for damage or loss of property in cases of weather, theft or vandalism or any other cause. It is the responsibility of the vendor to insure and secure their own property.
- All vendors MUST stay open for the duration of the festival. Early breakdown is not allowed and will result in you not being allowed to come to future events.
- No booth space can be sub-leased. Any vendor found subleasing space will automatically be disqualified from the festival and asked to leave without refund.
- Active solicitation (hawking) outside of booth space is prohibited.
- No smoking on event grounds.
- The sale of weapons, tobacco and alcohol is prohibited. Vendors may not use or be under the influence of alcohol of non-prescription drugs during the event.
- The Vendor assumes all risk associated with participation in the event, including but not limited to injury, illness, damage, loss, theft, or destruction of property, whether caused by accident, weather, acts of God, third parties, or any other cause.
- The Vendor agrees to release, waive, discharge, and hold harmless the North Jefferson Chamber of Commerce, the City of Pinson, their officers, directors, employees, volunteers, agents, sponsors, and partners from any and all liability, claims, demands, damages, losses, or expenses arising out of or related to participation in the event.
- The Vendor further agrees to indemnify and defend the North Jefferson Chamber of Commerce and the City of Pinson against any claims, including but not limited to claims from the Vendor’s employees, contractors, customers, or third parties, arising from the Vendor’s participation, products, services, or actions.
- The Vendor acknowledges that the North Jefferson Chamber of Commerce and the City of Pinson do not provide insurance coverage for vendors and that it is the Vendor’s responsibility to obtain any necessary insurance.
- The Vendor agrees that the event organizers shall not be held responsible for any loss of income, sales, or business opportunity due to weather, attendance, cancellation, or any unforeseen circumstances.
- To the fullest extent permitted by law, the Vendor waives any right to bring legal action or claim against the North Jefferson Chamber of Commerce, the City of Pinson, and their representatives for any reason related to participation in the event.
- This is a rain or shine event.
- Payment must be received by the invoice deadline. Failure to do so will result in forfeiture of your booth space, and you will be required to reapply for consideration. All payments are non-refundable once received.
- FOOD VENDORS ONLY: The Fire Marshal may do an onsite inspection the date of the event. Food trucks must also have an approved inspection on file with a local Fire Marshal. Additionally, food trucks MUST properly dispose of any oil. It may not be poured in the streets, down drains, or in trash cans unless put in proper containers.
- By signing the vendor registration form for the Pinson Butterbean Days you are stating you have read, understand and will adhere to the rules and regulations listed herein. Any violations may result in the loss of space without refund and exclusion from the Festival in future years.
